You can be profitable on paper and still run out of money. That's the thing nobody warns you about.
Cash flow is just the movement of money in and out of your business. What's coming in from clients, what's going out in wages, rent, bills. Profit is what's left at the end of the year. The two aren't the same thing - and that gap is where businesses get into trouble.
Here's a scenario that comes up all the time. You land a contract worth $50k. Work takes six weeks. You invoice at the end. Client pays on 30-day terms. Meanwhile you've been paying wages weekly and rent monthly the whole time. By the time the money lands, you've already spent what you didn't have yet. That's a cash flow problem - even though the job was profitable.
The fix isn't complicated. Progress billing, tighter payment terms, a cash buffer, knowing what's coming in and out three months ahead. None of it is difficult - it just needs to be on your radar before it becomes a crisis.
